Annual Salary Increase Notification and Appointment Renewal Letter TEMPLATES
Annual Renewal Letters are required for all academic appointments. The following templates are available for use as annual appointment renewal letters featuring salary increases:

Note: No offer of salary increase should be made to an employee prior to receiving appropriate approvals as outlined below. Additional documentation may be required if a university-wide Hiring Freeze is in effect (contact UMKC Human Resources for additional information).
The following information relates specifically to requesting an increase to an employee’s base line salary only, and does not apply to one-time temporary additional pay and/or extra compensation payments:
Merit = Merit increases must be supported by a current performance appraisal in which the comments and performance rating clearly justifies the amount of merit increase awarded. Provost and/or Chancellor reserves the right to require approval on an annual basis.
Market Increases = Provost approval required. Dean submits written request to Provost, including any relevant market data to substantiate the request. Human Resources will be asked to provide analysis for this request. The request will be decided by the Provost following HR review. Must include evidence of Provost approval with payment documentation.
Equity/Reclassification = Provost approval required. Dean submits request in writing to Provost including details of the reclassification or equity issues at hand. Human Resources will be asked to review the request. The request will be decided by the Provost following the HR review. Must include evidence of Provost approval with payment documentation.
Counter Offers = Provost and Dean approval required. At the request of the employee’s Supervisor, the Dean submits a written request to make a counter offer to Provost, providing evidence that the Dean and Supervisor have considered budget and funding availability, internal equity issues, and legitimacy of offer. Must include evidence of Provost approval with payment documentation.
Add/Accepted Additional Duties or Temporary Pay Increase (Academic positions only) = Provost and Dean approval required. Supervisor must provide evidence of previous job duties as presented to the employee at time of hire or most recent reappointment; must also provide documentation of a significant and substantial increase in duties and responsibilities. Must include evidence of Provost approval with payment documentation.
Please Note: There is a separate HR process to follow for requesting Equity, Additional Duties and Temp Pay salary increases for Administrative and Staff positions.
